Mailbox housekeeping...

2010-07-07

It's very important to configure your mail program to remove mail from the server at the same time it is picked up. Every mail program has this option. Unfortunately, many mail account holders have not been doing this; they are leaving copies of mail on the server, and as a result, their mailboxes have filled up with messages. Some mailboxes contain a huge number -- sometimes hundreds of megabytes -- of old messages that should have been removed when the owner initially picked them up. This is not advisable for two major reasons. First, there's a significant risk of losing mail due to server disk drive crashes or other unforeseen events. No one likes losing important e-mail. The ONLY way to make sure your mail is secure is to download it to a computer. Second, this situation creates a big problem for us, because leaving copies of old messages on the server eats up disk space. We have repeatedly sent out e-mail requesting that people clean out their mailboxes, we have posted notices to that effect on our web site, and we instruct all new customers to configure their mail programs to download mail. We are concerned that some customers are not heeding our advice, and are continuing the practice in spite of the risks.
